Our busy law firm is seeking an Office Administrator to support the Firm’s Managing Partner and the Board of Directors. Our firm is committed to practicing law at the highest level while supporting a positive and friendly atmosphere.
The Office Administrator coordinates office operations by providing clerical and administrative support to management and staff. The position includes overseeing corporate records, financial records, budgeting, accounts payable, capital assets, and facilities. The Office Administrator coordinates the interviewing/hiring and onboarding of staff, administers employee benefits, and manages company policies.
Responsibilities:
Maintains Firm’s finances, Operating and Bonus Budgets, revenue and expense performance, and reporting to the Board of Governors.
Manages Accounts Payable, oversees inventory and capital assets list.
Oversees services contracted by the Firm and leases held by the Firm for all services (telephone, insurances, IT, legal research, postage, vendors and facilities management.)
Oversees property, liability and malpractice insurance for the Firm and its lawyers.
Directs office functions to maintain efficiency, presentable and well-maintained office facilities (space, furniture, fixtures, equipment, snow removal, yard services and maintenance.)
Coordinates the advertising, interviewing and hiring of support staff, handles orientation of new staff and administration of employee benefits, and oversees staff workloads.• Reviews and updates policies, procedures and practices. Guides enforcement.
Prepares Waivers and Agendas, attends meetings, prepares Minutes, and provides information and recommendations when requested. Maintains business records.
Maintains business files and documentation.
Aids lawyers and support staff.
Performs added duties as assigned by Managing Partner.
Backs up the functions and position of the Firm’s Billing and Technology Coordinator.
The position contains supervisory responsibilities. The successful candidate will possess a willingness and eagerness to provide assistance, technical capacity, attention to detail, collaboration skills, communication proficiency, abilities to be flexible and multi-task, ability to keep track of requested tasks and complete each in a timely fashion, and the discipline to manage time well.
Our full–time position includes the following benefits: profit sharing and 401k match, PTO, holidays, health insurance plan, cafeteria plan, life and disability insurance and health club membership. Compensation will be competitive and reward for relevant experience. A two- or four-year business degree and two years’ administrative and financial experience is preferred.
